Please note that Softrite will be open to assist clients with year-end matters today until 1:00 PM, as well as on Friday, 2 January and Monday, 5 January 2026. We encourage you to make use of this service to ensure a thorough reconciliation, the accurate production of final reports, and a smooth close-off of the year.
Recently, Softrite has been engaging with ZIMRA regarding the 2025 year-end payroll process following the introduction of the TaRMS platform. As per Zimra’s Public Notice 67, the traditional ITF-16 return will no longer be required. Instead, a “reconciliation” is now automatically performed through the final TaRMS submission for the tax year.
The December 2025 TaRMS return will be the final submission for the 2025 tax year. The return is due on the 5th of January, and the payment by the 10th of January 2026. We recommend that you follow these dates unless you have written advice from the Commissioner to the contrary.
Historically, Softrite has used the January period to perform standard year-end reconciliation processes which are sometimes tricky. This will be the first year adapting to a new system (TaRMS), and I am sure this will bring many additional challenges to a period that was already quite prone to irregularities. Zimra perhaps have not foreseen some of these challenges and therefore have not been clear on what we shall do when we run into them. As part of our year-end procedure (see below), we would like our clients to establish the extent to which differences are occurring. From there, it’s likely that we recommend our clients to continue on with normal submissions and, where necessary, request extensions for the finalisation of your yearly figures to perform the reconciliations responsibly.
Our appointments are a standard $90 for an hour and I always recommend our clients to do this to make sure important differences and potential problems are caught ahead of time and that the year is completed smoothly and orderly. Please contact Amanda to book your session.
Below is our recommended 2025 Year-End Procedure:
1. Ensure you are running the latest version of the payroll software, available at: https://softrite.co.zw/download/
2. Perform a pay update to ensure that December pay figures are added to the Year to Date amounts.
3. Run a backup – “Year-End Start”.
4. Process a Final FDS Pay Run, available from the Year End menu, to confirm PAYE accuracy.
a. Run the pay generation and preview or print the control totals. If any non-zero figures appear, print a payroll summary and contact Softrite support if the values are significant.
5. Once satisfied, create and submit the TaRMS Earnings Export file as per normal procedure.
6. Download the TaRMS PAYE export containing ZIMRA calculated PAYE for each employee for the entire year and import it into Adaski via ZIMRA TaRMS > Import ZIMRA PAYE.
7. Run a backup.
8. Print the ZIMRA / Adaski Comparison Totals by company via ZIMRA TaRMS > ZIMRA/ADASKI comparison. If there is a significant variance, please contact Softrite support for assistance or to book a year-end appointment.
a. (If Applicable) Request an extension to Zimra to responsibly go through the reconciliation process.
9. Proceed to print and securely store your 2025 Year-End Reports.
